    STWP Process Template – Word Doc 

    Hello PCs!

    I put together a word version of the STWP Process Template from LGED. I figured it would be a great resource for new and old PCs to have in a hard copy, rather than only accessible in LGED.

    Update on Webinar Success for this Month 

    Hi all,

    In an effort to keep you up to date on what is happening on the marketing/sales end of things, I wanted to post this update.

    On Wed, 3/12, I held a webinar called: Not Getting Results in Marketing Your Private
    Practice? Part 1: Check Your Niche

    This was one where I walked through common problems with niche confusion and definition, gave some pointers on how to solve it themselves, and offered our CSM service as help if they needed it.

    We had 172 folks opted in, and 38 were from our LinkedIn efforts — reaching out to grow our list.

    We officially had no standalone CSM sales (expected this would be difficult since it’s amorphous) but got a lot of interest, several consulting calls set up, and lots of thanks/kudos for he webinar. Also, in the STWP sales (see below), more folks than usual requested CSMs.

    It also got some folks on the fence to more seriously consider STWP.

    Next, on Wed, 3/19,I held a webinar called: Not Getting Results in Marketing Your Private
    Practice? Part 1: Analyze Your Marketing

    I walked them through common problem with marketing and how to tell if they had these issues. I told them what we do in our full Marketing Analysis offering and how STWP solves many of these problems. We hoped to sell some MAs…

    We had 200 folks register, and 57 were from our LinkedIn out reach work (it’s working!).

    Turns out, we (thus far) have sold:

    • 8 MAs (marketing analysis engagements)
    • 8 STWPs (Smart Therapy Websites)

    We still have a week before the month is up, so hope to sell a few more STWPs and perhaps some MAs or Adwords deals or maybe just some SEO work.

    New Protocols and Responsibilities for PCs, Writers, etc. 

    PCs and Writers, here is the protocol for how knowledge is transferred and who is responsible for what aspects of a project. Please review this carefully!

    1. STWP Purchase
    2. Meagan creates new project in LGED (or check to see if one already exists & rename it)
    3. Magical Overview Form – Becky fills out
    4. Becky uploads Magical Form to Files folder in LGED (and notifies PC via LGED)
    5. When Pre Kickoff form is submitted, Meagan will add to LGED & notify the PC via LGED
    6. If Mktg Analysis, Meagan emails Jane MA form.
    7. If Mktg Analysis, Jane uploads Word doc + video link, subsequent versions to LGED / Files
    8. If CSM, PC will confirm availability then invite Jane and client via Google Calendar.
    9. If CSM, Jane uploads mindmap + subsequent versions to LGED / Files
    10. If CSM, PC uploads meeting notes to LGED / Files
    11. Before Kickoff or CSM, PC skims Mktg Analysis if there was one.
    12. Before Kickoff PC consults Master Keyword document.
    13. After kickoff meeting, the PC knows the page names.
    14. Established STWP procedures kick in here, whether writer needed or not.
    15. If MM will be written, PC emails Jessie, using following convention in email title: ASSIGN WRITER: Client Name
    16. Jessie assigns writer and emails writer and PC to inform that they are working together.
    17. Jessie inputs info into the Writer Status Google Doc
    18. PC creates Task for writer in LGED for each individual MM. In the Task, PC provides Page Names, and focus keyword for each page.
    19. Writer spends 10-15 minutes skimming Mktg Analysis and/or Mindmap if they exists. If not please review client’s current/old website for 10 minutes. Writers skims Magical Overview Form.
    20. Writer is directly in touch with client.
    21. Writer sends MM to Jessie for edits, utilizing this convention EDIT: Client Name, Page Name.
    22. Writer gets final version from client sign off.
    23. Writer goes to Site Access doc, finds page in cwdevel site or practicebook, pastes in text, does SEO
    24. Writer completes Task in LGED, PC is informed
    25. PC formats web page to match + adds links

      Jane – can you edit item #4, to add UNLESS PROJECT ALREADY EXISTS?

      We have a problem now where we have double projects created in LGED for same client, and I want to prevent that.

      Move #8 up after modified #4 to say, If project already exists in LGED, Meagan will….

      thanks for doing this Jane. for #23, formatting text, we will need to have a workshop on the formatting standards and show everyone how to add links to text and how to format text on the dashboard.

    Hosting Email Template – (simply copy and paste into email) 

    We are getting closer to going live for your website so I wanted to present the hosting options we offer. If you could let me know which plan you would like in a couple of days that would be great. Let me know of any questions and thank you!

    $20/month plan: SECURITY PLAN

    The Problem

    Sites get hacked all the time. If your site gets hacked, it will cost anywhere between $100-250 to get it fixed. Besides having to clean up the mess, if malware is inserted into your site and you don’t know it (many clients don’t notice when this happens), you can then be blacklisted by Google, McAffee, etc. and your site gets de-indexed. Recovery from being blacklisted is slow.

    The Solution

    Because this has become such a problem, we’ve created a system to both CHECK client’s sites regularly for malware, and to stay on top of what needs to be done to PREVENT malware attacks (as much as possible). Our $20/month hosting plan includes not only the hosting itself (saves you $10/month in hosting fees) but also malware monitoring, website backups, WordPress and plugin upgrades. We do the following:
    1. WP Upgrades: Since outdated WP versions make you susceptible to being hacked, we automatically upgrade your WordPress software when a new release is made available.
    2. Plugin Upgrades: Since outdated plugins make you susceptible to being hacked, we automatically upgrade your plugins when a new release is made available.
    3. Malware Monitoring: Since it’s important to catch any malware placement early, we scan your site to check on malware every 6 hours. If malware is detected, we immediately clean your site before you get blacklisted by Google, McAfee, etc.
    4. Website Backups: We automatically make a full backup of your site and all it’s files and data each month. If your site does get taken out with malicious code, we can easily get you back up and running.

    With your OWN hosting, we encourage you to ensure that you have all of these protections in place, yourself. We’re able to provide hosting AND these protections for only $20 / month, because we do it for many websites and therefore get the benefit of efficiencies. If you do this for yourself, you will probably spend more than $20/month.

    $50/month plan: PREMIUM PLAN

    This is our premium hosting plan. It includes everything described above PLUS up to one hour’s worth of technical work on your website. The normal charge for technical work is $60/hour. If you need some work each month (us adding your blog posts, make small changes, etc.) this technical hour will cost you only $30 additional, beyond the $20 for other services. Deal.
    If you don’t update your site regularly, this plan isn’t for you.

    Process for new STWP Clients 

    1. Meagan – add to Members Area on CW Wishlist Member
    2. Meagan – add to STWP Clients Google Doc
    3. Meagan – send them Welcome to STWP Email

    5. PC needs to set up new client in LGED

    Charging STWP Clients for Themes 

    For STWP clients that didn’t sign up during November, do we automatically charge them for the theme? And if we already have the theme (canvas for example) we charge them $39, correct? If not, we purchase the theme and charge the client for it.

      For those on the official waiting list, we should give them the bonus, IF they got on the waiting list prior to that Tuesday — November 5th.

      For all others, yes, charge cost of theme if we don’t have full use of it, and if we already have license to use on a bunch of sites, charge $39.

    Pre-Designed Themes Project 

    Pre-designed themes to make the theme selection process easier.

    Ideas: 3 different background textures (solid, gradient & overlays), 3 different paths (nature – soothing, conflict/problem or hope), 10 total themes for clients to look at

    What do you do with content on a site if they are transferring to a WordPress site? 

    One of our STWP sent me an email saying she wants to save all the content on her current, non-WP site to reference in the future. What is the best way to do this? Have the client copy and paste the content into a word doc? Or will the content be safe in the old site for an extended period of time?

    This client is quite needy, and I would hate to lose the content. That would equal a very unhappy woman.

      mm she doesnt need to copy it to word, we can just dump all the site to a temporary, hidden folder. Even more, there is no need to take it out of the server..

        Thanks @juan-villegas. Milena is the developer on this. What would be the best thing for me to tell her in regards to saving the content then? Dump it into a hidden folder or just leave it on the server?
