Here is training on how to implement vCita for clients:
There are 3 steps to this process:
1. Add them to tool
2. Send them an email notifying them — and informing them of how to use the tool and to record their time
3. Add them to any projects they should be on
STEP 1

STEP 2
Then, you must send them an email notifying them they’ve been added. Best if you tell them how to record time, etc. Here’s an email you can send: (text included for copy and paste/edit, below:
Email Text:
Hi _______,
I’ve now added you to our project management tool. Here are your login details:
Tool: http://letsgeterdone.org/
Username: (put their email here)
Password: (put their password here)
Once we begin adding tasks for you, you will receive emails notifying you that something has been assigned.
For each task you work:
Welcome to the team, and please let me know if you have any questions.
(Your name goes here)
STEP 3

If there isn’t a specific task assigned to you, and you are just adding time to a project, this is how:

1. Select the project
2. Go to ‘Time and Expenses’
3. Click ‘Log Time’
4. Enter the amount of time
5. Select the type of work (i.e. writing, project coordination, etc)
6. Enter summary of work done
7. Make sure correct date is selected
8. Make sure your name is selected
9. Mark it as ‘Billable’
10. Click ‘Log Time’
If someone is having trouble recording their time one a project, then they probably do not have correct project permissions. This is how you change that:

1. Go to the project
2. In far right bottom corner, select ‘Manage People on this Project’
3. Edit her permissions by clicking the gear
4. Select ‘Custom Permissions’
5. Click the gear
6. Select ‘Access and Create’
7. Click ‘Save Changes’
