    STWP Process Template – Word Doc 

    Hello PCs!

    I put together a word version of the STWP Process Template from LGED. I figured it would be a great resource for new and old PCs to have in a hard copy, rather than only accessible in LGED.

    MM Writer Assignment Process for PC 

    1. Client says they need a writer for marketing messages
    2. Go to the Writer Google Doc (https://docs.google.com/spreadsheet/ccc?key=0AgV7rpRlNfcSdEx5YVdqU3lxcmg3cGt1SEkwQnhCemc&usp=sharing)
    3. Email a writer that has time available
    4. If the writer is available, add them to LGED
    5. Add them to your project on LGED – look at the video below on how to add people to a project on LGED. Be sure to add correct project permissions (make sure they are create & manage)!

    301 Redirects: protocol for project coordinators and developers 

    Project Coordinators will need to instruct the developers to create 301 redirects if a page exists on a site, but will be changing its URL.

    You must make sure the 301 redirects are done correctly, because if it is not your client could lose thousands of Google views that apply to their search link equity, rendering them essentially starting from scratch, which is quite disastrous from an SEO perspective. You can make a spreadsheet in Excel or a Google doc, or simply list them in LGED. But the essential message must be that there is an OLD URL that will now change to a NEW URL, and the PC (not the developer) is responsible for determining those. There are two main types.

    One, the Orenstein model, where the URL is kept, but page names are changed:

    NEW: http://www.orensteinsolutions.com/teen-counseling/

    There is also second type, the Joseph Weiss type, where the URL is completely new:

    Our Hiring Process (for PCs, writers, etc) 

    Standard Getting Started & Training Process
    **we have a different process for hiring developers

    1. Send Offer Letter
    2. Send W-9 Form
    3. Set up in Lets Get Er Done Project Management Tool
    4. Have Daryl set up Email Address (Forward to their Gmail & show how to send from Gmail with CW id)
    5. Set them up in P2 & email with info
    6. Add to the STWP members area (if applicable) & email with info
    7. Get Skype ID and add to the Group Chat
    8. Send Training Videos – Webinars about philosophy of a good website and client base
    9. Familiarize with organization of company
    10. Overview of Offerings
    11. Timekeeping Invoices and Payment Options

      In order to add a PC to the STWP customer member’s area, you need to not only add them as a user on Counselingwise but also go into Wishlist Member and add them to the Smart Program level

    Thursday Workshop 12/5/13 

    Ideas from each person on how to improve PC process:

    1. Manage client expectations – trying to manage customer service with reality – defining the expectations
    2. Better communication – getting it right the first time and understanding – greater visibility on developer process
    3. Development standards
    4. Time estimates for developer tasks
    5. Basic WordPress training
    6. Themes – more definition – process for communicating the theme appearance to clients
    7. Need testing & qa process before going live
    – Smooth go live process that is documented and adhered to
    8. Clear client communication regarding hours and cost
    – Initially
    – Ongoing
    9. Process for screening/testing out developers
    10. Being more realistic with each task and time
    11. Improve photo selection process
    12. Remove burden from Becky to free her up for marketing
    13. Better communication with client
    14. Standard timeline and deadlines for projects – give ourselves and our clients a schedule to go by

    15. Better process for assigning developers to a project

      Sorry, must have been unclear. The top 5 issues are the first 5 that we will tackle. If we can get #1 completed by the end of next week’s meeting (12/12), that will be great.

      Also — is 16 about putting all training in one place? I think so, but wanted to make sure!

        Becky – so this week we are tackling #14 (which is the top issue for next week)

        Yes, #16 is having all training in one place (the P2..Woot!)
