    Understanding Our Hosting Options 

    $20/month plan: SECURITY PLAN

    The Problem:
    Sites get hacked all the time. If your site gets hacked, it will cost anywhere between $100-250 to get it fixed. Besides having to clean up the mess, if malware is inserted into your site and you don’t know it (many clients don’t notice when this happens), you can then be blacklisted by Google, McAffee, etc. and your site gets de-indexed. Recovery from being blacklisted is slow.

    The Solution:
    Because this has become such a problem, we’ve created a system to both CHECK client’s sites regularly for malware, and to stay on top of what needs to be done to PREVENT malware attacks (as much as possible).

    Our $20/month hosting plan includes not only the hosting itself (saves you $10/month in hosting fees) but also malware monitoring, website backups, WordPress and plugin upgrades. We do the following:

    • WP Upgrades: Since outdated WP versions make you susceptible to being hacked, we automatically upgrade your WordPress software when a new release is made available.
    • Plugin Upgrades: Since outdated plugins make you susceptible to being hacked, we automatically upgrade your plugins when a new release is made available.
    • Malware Monitoring: Since it’s important to catch any malware placement early, we scan your site to check on malware every 6 hours. If malware is detected, we immediately clean your site before you get blacklisted by Google, McAfee, etc.
    • Website Backups: We automatically make a full backup of your site and all it’s files and data each month. If your site does get taken out with malicious code, we can easily get you back up and running.

    If you have your own hosting, we encourage you to ensure that you have all of these protections in place, yourself. We’re able to provide hosting AND these protections for only $20 / month, because we do it for many websites and therefore get the benefit of efficiencies. If you do this for yourself, you will probably spend more than $20/month.

    $50/month plan: PREMIUM PLAN

    This is our premium hosting plan. It includes everything described above PLUS up to one hour’s worth of technical work on your website. The normal charge for technical work is $60/hour. If you need some work each month (us adding your blog posts, make small changes, etc.) this technical hour will cost you only $30 additional, beyond the $20 for other services. Deal.
    If you don’t update your site regularly, this plan isn’t for you.

    How much do we charge clients per hour? 

    Answer from Becky:

    • STWP clients are $50 per hour.
    • Older sites had a contract that included a defined set of work for a certain price, and then anything beyond that was $60/hour. We will be glad to move beyond that old contractual amount.

      Keep in mind that STWP is a special discounted price — for the whole package. If old clients ask for one-off little projects post site development, our standard rate is $60 / hour. AND, we may be increasing that in 2014.

      Bottom line, you should always defer to me on cost conversations with clients!

    What exactly is Mailpoet? 

    What is Mailpoet?

    Mailpoet (formally wysija) is a newsletter and autoresponder plugin for a wordpress website. The plugin allows you to easily create newsletters to send out to your email list, while ultimately growing your email list.

    At Counselingwise, we set up Mailpoet on client’s websites as an easy way to grow their contact list. We usually do this by adding Free Report(s) to their site, which provides free valuable information to potential clients, while requiring an email address. Once the client has obtainined their email address, they can then send various email newsletters, as a constant reminder. This will increase the chance of contact in the future.

    Mailpoet also allows you to see your subscribers behavior with newsletter specific analytics on how many people opened, clicked, bounced and unsubscribed.

    Mailpoet: Good Info Before Clients Import Subscribers 

    Checklist Before Importing Subscribers (from Mailpoet website)

    1. I’m using a list from my other website:

    • Although your sites might be similar, your other website’s subscribers didn’t ask to receive your emails. Our recommendation: don’t import.
    • Possible consequences: you run a good chance of being marked as spam. Or worst, blocked entirely from Internet Service Providers.
    • Solution: send a newsletter to your other site’s subscribers and invite them to join your new list. Link to a subscription form on a page of your site!

    2. I’m importing another department’s list

    • It’s tempting to use your company’s other list for your own project. We know, we’ve been there. Our recommendation: don’t import.
    • Possible consequences: you run a good chance of being marked as spam. Or worst: blocked entirely from Internet Service Providers.
    • Solution: ask the other department to invite their subscribers to join your new newsletter’s list. Link to a subscription form on a page of your site!

    3. I have an old list…

    • You can if your list is not over 2 years old and if your list was used for your the same website.
    • Possible consequences: addresses that don’t exist anymore will bounce. If Gmail, Yahoo, Hotmail or any other receiving server notices this, they might block you. Getting unblocked is very difficult.
    • Solution: send your newsletters to only 100 or 200 emails. If the bounce rate is under 5%, you can send to all.

    4. My personal address book

    • This is not a good idea.
    • Solution: we recommend that you send a personal email to your personal contacts with a link to a page where they can subscribe.

    5. Collected business cards

    • If you don’t clearly say to those who give you their business cards that they’ll join your mailing list, consider yourself a spammer!
    • Solution: send them a personal email with a link to a subscription form on a page of your site.

    6. I’m switching to MailPoet from another emailing solution

    • Go ahead. You should be good.

    Mailpoet: How to Avoid Being Marked as Spam 

    These may be useful to know if your client has questions about Mailpoet! (From the Mailpoet website)

    6 rules to follow to avoid being a spammer:

    • Don’t send unsolicited emails to people that didn’t subscribe to your site.
    • Send from a professional SMTP server. We’ve partnered with a few to give you some deals. (CW recommends ElasticEmail)
    • Write enough text. Spam filters dislike emails with more than 3 or 4 images.
    • Avoid “spammy” words, such as: “free,” “unbelievable,” “Dear,” “Viagra”
    • Include a legitimate physical address in your footer. This can be added in your MailPoet settings.
    • Be clear of where you send from: SMTP providers can be authenticated as legitimate senders of emails using your domain name. That’s done with a an SPF record.

    Training on Creating free Reports – Formatting and creating downloadable PDFs 

    When you get a free report cover made for a client, you’ll need two versions One is a 3-D version that will be displayed on the website to act as a lure for the optin. The other is a flat version that will be part of the download the user gets.

    • You need to have the graphic designer provide you the flat cover in a pdf format.
    • You will also need to format the body of the report. You can follow the instructions, here, for formatting. ****Be sure to include the body of the report AND a bio of the author (client).

    Vcita Training 

    Here is training on how to implement vCita for clients:

    • You’ll need to know what functionality the client wants (see vcita.com and look at the options). Usually, it’s the scheduling one.
    • They need to get their own account and also give you their gmail signin so that vcita can be configured to access their google calendar (assuming they have a google calendar). The system may also access other types of calendars — you’ll need to look at this.
